Seeking Baller Administrative Support

Responsibilities include making travel and meeting arrangements, preparing invoices and reports, typing up notes, maintaining appropriate filing systems and any other admin queries. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Excel, Gsuite, Slack, Squarespace, etc...  or proven ability to learn quickly and have experience working in fast-paced professional settings where they worked with high-level managers. If you have previous experience as an administrative assistant or executive assistant, I’d like to talk to you.

Ultimately, a successful candidate will ensure the efficient and smooth day-to-day operation of our remote office.

  • Coordinate daily calendar of CEO, providing a brief and any relevant documents every morning or night before

  • Plan appointments and events

  • Act as the point of contact between executives and employees/clients

  • Create regular reports and update internal databases

  • Make travel arrangements

  • Manage phone calls and emails

  • Respond promptly to managers’ queries

  • Manage invoicing and receipts

  • Manage Department of Transportation contract compliance/requirements

  • Suggest more efficient ways to run a remote office and troubleshoot malfunctions

  • Review and recommend changes to our company policies

  • Create agendas, take or type up minutes and accurately enter data

  • Produce reports, presentations and briefs

  • Develop and carry out an efficient documentation and filing system

Pgh-based, may work remotely

Contract work, with living wage rates dependent on experience
